Executive Assistant (Genetic Testing Industry)
Company Background
We are seeking a highly organized and detail-oriented Executive Assistant to support our client's growing team. This role combines traditional executive support responsibilities with client-facing interactions, making it ideal for a candidate who is not only efficient and proactive but also personable and professional in communication. The right candidate will be comfortable handling administrative tasks, coordinating client communications, and supporting light marketing activities.
A candidate with a biology background (preferably in genetics) will be a plus.
Responsibilities
- Manage the company’s day-to-day administrative tasks.
- Schedule and coordinate meetings promptly, especially in response to client requests.
- Send, review, and organize internal and external emails.
- Support marketing email campaigns (with training provided if needed).
- Answer incoming phone calls, take accurate messages, and relay them appropriately.
- Conduct outbound calls to clients for follow-ups, check-ins, and scheduling.
- Maintain awareness of ongoing projects, ensuring timely follow-ups and task completion.
- Use productivity tools such as Google Sheets and Excel to track and manage data.
- Ensure clear, professional, and timely communication with clients and team members.
Qualifications
Bachelor’s degree in Biology (or currently completing a biology-related program) - not required but a plus.Strong knowledge of biology and ability to handle basic genetics-related inquiries (a plus).Intermediate proficiency with Excel.Tech-savvy, with working knowledge of Google Workspace (Docs, Sheets, Calendar, Gmail),Google Voice, and email management systems.Excellent written communication skills with smooth, professional email etiquette.Strong attention to detail and organizational skills.Diligent, reliable, and proactive in handling responsibilities.Schedule
Part-time : Monday to Friday, 9 : 00 am – 1 : 00 pm PST (20 hours per week).If performing well, the hired agent could be promoted to full time
