Role Overview :
We’re seeking a highly organized and proactive Executive Assistant to support our Chief Officers in managing daily operations, strategic priorities, and cross-functional initiatives. This role is ideal for someone who thrives in a fast-paced, high-growth environment and enjoys acting as a strategic partner to senior leadership
Working time : 9 AM - 5 PM ET ( New York office hours)

Key Responsibilities :
- Manage complex calendars, scheduling, travel coordination , and meeting logistics across multiple time zones.
- Prepare meeting materials , talking points, and detailed follow-up notes for internal and external discussions.
- Handle confidential correspondence , executive communications, and report preparation for leadership.
- Manage investor relations correspondence , including drafting professional update emails, scheduling investor calls, and maintaining accuracy in fundraising documentation and data rooms.
- Organize and maintain digital records, files, and trackers across departments and entities.
- Support documentation for legal, HR, and finance processes , including compliance and expense tracking.
- Assist with personal-executive matters such as visa applications, travel planning, and reimbursements.
- Collaborate with Finance, HR, and Operations teams to compile data and reports on company performance.
- Ensure timely submission and accuracy of documentation and compliance filings.
- Conduct research on markets, competitors, or potential partners to support executive decision-making.
- Summarize insights and prepare briefs and presentations for executive review.
- Act as a liaison between executives and internal / external stakeholders , ensuring smooth communication.
- Draft executive summaries, announcements, and internal memos on behalf of leadership.
- Track deadlines, action items, and deliverables across multiple projects and teams.
Qualifications / Experiences :
Bachelor’s degree in Business, Finance, Communications, or a related field .3–5 years of experience supporting C-level or senior executives in a corporate or fast-paced setting.Demonstrated experience in startup environments, supporting fundraising, investor relations , and due diligence activities.Strong written, verbal, and interpersonal communication skills .Proficiency in Google Workspace , Microsoft Office Suite , and project management tools (Asana, Notion, or Monday).Exceptional time management, organization, and multitasking abilities under tight deadlines.Proven ability to handle confidential information with professionalism and discretion.Experience with document preparation (visa, HR, finance, or compliance forms) is a strong plus.Excellent English for communication, documentation, and correspondence.Policies :
