Position SummaryThe Bilingual Executive Assistant serves as the company's first point of contact, representing the Chinese multinational with professionalism and excellence in customer service.
This position is responsible for managing the reception area, providing administrative and executive support to local and expatriate managers, ensuring smooth communication between Chinese and Brazilian teams, and maintaining the efficient operation of the office.Main Responsibilities : Welcome and assist visitors, clients, and suppliers;Answer and route phone calls in Portuguese and English;Manage incoming and outgoing mail, packages and corporate documents;Monitor and control office supplies and inventory replenishment;Coordinate meetings, internal events, and corporate visits (room booking, coffee breaks, audiovisual support);Provide assistance with facilities management.Organize and provide logistical and administrative support to Chinese delegations visiting the Brazilian office (transportation, accommodation, meals, meeting agendas, and interpretation support);Support expatriates with daily office-related needs;Assist the General Affairs team with day-to-day office management activities, including maintenance, facility coordination, vendor control, and service contracts.Monitor and replenish office and pantry supplies, maintaining proper inventory levels.Coordinate with suppliers and service providers for building, cleaning, security, and logistics services.Contribute to continuous improvement initiatives in the General Affairs area.Place : Botafogo - Rio de Janeiro / RJLanguages : Fluent English (daily use – interview will be conducted in English).
Languages : Fluent English (mandatory); Mandarin is an advantage.Experience : Minimum of 2–3 years in administrative, executive assistant, or front desk roles — ideally within a multinational environment.Technical Skills : Microsoft Office (Word, Excel, Outlook, PowerPoint).
