You will manage the office's physical structure, lead outsourced teams, coordinate internal events, and act as a key partner to internal stakeholders.
Your key responsibilities include : Overseeing maintenance, inspections, and repairs, ensuring facilities, equipment, and furniture are safe, functional, and well maintained.Managing vendor relationships and service contracts, including cleaning, security, maintenance, reception, and supplies, ensuring service quality and budget alignment.Leading office space planning, including resource allocation, office moves, and reconfigurations, while supporting budget planning and negotiations with landlords.Ensuring compliance with health and safety standards, including CIPA, emergency committees, access control, audits, and workplace safety measures.Managing internal administrative routines, such as food services, mail, supplies, parking, reception, external storage, and sustainability practices.Coordinating third-party management, overseeing compliance, onboarding, daily operations, and governance of external collaborators and vendors.Supporting internal events and celebrations, managing logistics, infrastructure, and vendor coordination for events like Family Day, Kids Day, and Year-End Celebrations.QualificationsWe are looking for a proactive and experienced professional who thrives on organization, service quality, and workplace safety.
To succeed in this role, you must have : Bachelor's degree completed in Business Administration or a related field (higher education is a plus).Advanced English and strong communication skills across different levels of seniority.Experience coordinating facilities in corporate environments, including infrastructure, services, and preferably within multinational companies.Proven experience in people management, vendor and contract oversight, budget ownership, and health and safety compliance.Hands-on experience in planning and executing corporate events, celebrations, and managing third-party collaborators and contracts.About the DepartmentYou will be part of the People & Organisation (P&O) team at Novo Nordisk Brazil, supporting the full employee experience by ensuring smooth, safe, and efficient workplace operations.
